An academic conference schedule needs to account for the structure of research presentations as well as the movement of attendees. Group related papers, define whether discussion is inside each talk slot and give poster sessions a protected place in the programme. Authors and chairs need clear instructions for the format they are delivering.
The original example below describes a small, single-track research meeting. It is a suggested design, not a disciplinary standard. Different fields may require longer talks, formal discussants or distinct poster arrangements.

Calculate paper sessions from the slot design
A 25-minute paper slot could contain a 15-minute presentation, eight minutes of discussion and a two-minute handover. Three such slots occupy 75 minutes. If presenters instead receive 25 minutes of speaking time, questions and transitions must be added separately.
Publish the agreed breakdown in author instructions. Ask chairs to use the same timing signals. A vague label such as “short presentation” is not enough when a session contains several papers and ends at a fixed time.
Group papers by a useful relationship
Use a shared research question, method or application to form a session. A coherent group makes the discussion easier to follow and gives the chair a basis for connecting papers. Avoid relying only on broad keywords if the actual contributions differ.
Check whether authors, co-authors or chairs appear in more than one session. In a parallel programme, those dependencies can create unavoidable attendance conflicts unless they are considered before assigning slots.
Protect the poster session
Give posters an explicit time and location, rather than describing them only as available during breaks. State when authors are expected to stand by their poster. If the display area is open all day, distinguish viewing access from the staffed discussion period.
Confirm the practical arrangement with the venue: installation access, available boards, circulation space and removal time. Keep those instructions in the author briefing while the attendee schedule shows the session and location.
Account for presentation handovers
Agree how slides reach the presentation computer and who checks them. A paper session can lose time when every speaker connects a different device. If device switching is necessary, include enough transition time and an agreed fallback.
Keep the main schedule tied to the session start and end, while the chair’s sheet lists individual paper order. Give each paper a stable reference so title changes do not make the two documents difficult to reconcile.
Review the schedule from an author’s perspective
- Can every presenting author attend their assigned date and time?
- Does a chair have preparation time before the session?
- Are questions included in the advertised paper slot?
- Are posters and oral presentations clearly distinguished?
- Does the closing leave time for the agreed venue finish?
For a larger meeting, apply the same checks across tracks. Also review likely audience overlap: two sessions can have different speakers yet still compete for the same specialised group.
